Finance is where you bill students, take payments, and see what is owed. Open Finance from the dashboard. Its tabs group the work into fees, invoices, discounts, penalties, and reports.
Two different screens: Finance and Billing
Finance is about student fees: invoices and payments. Billing is a separate screen about your own subscription to Lernmark (your plan and how many student places you use). This page is about Finance; Billing is covered briefly at the end.
Set up your fees first
On the Fee Structures tab, define your reusable fee lists, for example tuition, registration, and other charges. A fee structure is a template of charges you can apply to many students at once, so you do not enter the same fees over and over. From a fee structure you can generate invoices in bulk for a session or level.
Invoices and payments
On the Invoices tab you bill students and record what they pay. An invoice is a bill issued to a student. Each invoice moves through statuses so you always know where it stands:

| Partially paid | Some, but not all, has been paid. |
| Paid | Fully paid. |
| Settled | Closed out, including any credits applied. |
| Void / Cancelled | No longer owed. |
To record a payment, open the invoice and enter the amount and the payment method, for example cash, bank transfer, cheque, mobile money, or other. You can also apply a credit note (reducing what is owed) or a write-off (clearing an amount you will not collect).
Discounts, late fees, and refunds
- Scholarships (the Scholarships tab) let you set up discounts, reductions applied to a student's fees.
- Late fees (the Late Fees tab) let you configure penalties for overdue invoices.
- Refunds return money to a student, recorded against the relevant invoice.
See how collection is going
The Reports tab gives a read-only summary: total billed, total collected, outstanding (still owed), and a collection rate (the share collected). This is your at-a-glance view of the school's fee health.
Set up fees before enrolling a cohort
Define your fee structures before a new intake, then generate invoices in bulk. It is far quicker than billing students one by one.
A note on Billing (your subscription)
Separately, the Billing screen shows "your subscription, plan, and student usage". This is your own account with Lernmark, not student fees. Use it to see your plan and how many student places you are using, and to change plans.
