A school is run by more than one person, so early on you invite your team and decide what each person can do. Access on Lernmark is decided by a person's role (not by hiding buttons) so people only ever see the areas they are meant to.
Invite administrators
From the dashboard, open Administrators, described as: "Invite and manage the school and department administrators for your workspace." Here you:
- Invite a staff member by name and email.
- Choose the kind of administrator they should be.
- Send the invitation. They accept by email and set their own password.
School-wide versus department administrators
A school administrator can manage the whole institution. A department administrator manages only their department. Give people the narrowest role that lets them do their job: it keeps things tidy and safe.

How access works
Two ideas keep your data safe and organized:
- Role-based access: what someone can do follows their role. A teacher cannot open school-wide finance; a department administrator sees only their department. This is enforced by the platform, not just hidden in the interface.
- Separate workspaces: each school's data stays within its own workspace. People in one school never see another school's information.
You do not configure any of this in code: you simply give each person the right role, and Lernmark takes care of the rest.
Review access now and then
When someone changes jobs or leaves, update or remove their access from the Administrators screen. Keeping the list current is good practice.
